These Terms & Conditions apply to your booking and participation in the four-day pilgrimage to Venice organised by Armenian Church Trust UK Ltd (“we”, “us”, or “our”).

By submitting a booking or registration for the pilgrimage, you confirm that you have read and agree to these Terms & Conditions.

1. The Pilgrimage

The pilgrimage is a four-day programme centred on prayer, Armenian Christian heritage, fellowship, cultural visits, and exploration of Venice and the surrounding region.

The itinerary may include visits to San Lazzaro degli Armeni, the Armenian Holy Cross Church, Burano, Verona, and other locations described on the website.

The programme will be accompanied by a professional local guide, together with appropriate pilgrimage leadership.

2. Booking and Registration

Places on the pilgrimage are subject to availability.

A booking is considered confirmed once:

1.     the completed registration information has been received; and

2.     any required deposit or payment has been received on time; and

3.     we have confirmed the booking.

We reserve the right to decline a booking where the pilgrimage is fully booked or where we are unable to accommodate particular requirements.

3. Price and Payment

The total pilgrimage price, payment schedule, and details of what is included and excluded will be clearly communicated at the time of booking.

Unless expressly stated otherwise, participants are responsible for expenses not included in the published pilgrimage price, including personal spending, travel insurance, and any optional activities.

4. What Is Included

The inclusions will be specified on the pilgrimage booking page and booking confirmation.

Depending on the selected package, these may include accommodation, transportation, guided visits, and other activities described in the programme. Meals and personal expenses are not included.

Participants should carefully review the published inclusions before completing their booking.

5. Travel Documents and Insurance

Participants are responsible for ensuring that they hold valid passports, visas, permits, and any other documents required for their travel.

Participants are strongly advised to obtain appropriate travel insurance covering, where relevant, cancellation, medical expenses, personal belongings, and travel disruption.

We are not responsible for losses resulting from a participant's failure to obtain appropriate travel documentation or insurance.

6. Changes to the Programme

We reserve the right to make reasonable changes to the programme where necessary due to circumstances beyond our control, including weather, transportation disruption, strikes, venue closures, changes in local conditions, or other operational or safety considerations.

Where reasonably possible, we will provide an alternative arrangement of comparable nature.

The published itinerary is therefore indicative and may be subject to change.

7. Cancellation by a Participant

If you need to cancel your booking, you must notify us in writing no later than 21 September 2026.

Cancellation may result in loss of deposit paid and deduction of third party charges may apply depending on the date of cancellation.

We strongly recommend purchasing travel insurance that includes cancellation cover.

8. Cancellation or Changes by the Organiser

We reserve the right to cancel any trip due to insufficient enrollment or extreme, unsafe conditions.

We are not liable for any additional expenses incurred by you.

If we cancel the pilgrimage, we will communicate the available options to affected participants, including any applicable refund arrangements.

9. Participant Responsibilities

Participants are expected to:

·       Follow reasonable instructions from the pilgrimage organisers, guides, and service providers

·       Behave respectfully towards fellow pilgrims, clergy, guides, local communities, and venues

·       Arrive at meeting points on time

·       Ensure that they are physically able to participate in the planned activities

·       Inform the organisers in advance of any relevant accessibility, dietary, or other requirements

The pilgrimage includes walking and movement between locations. Participants should consider their own mobility and fitness when deciding whether the programme is suitable for them.

10. Health and Accessibility

Participants should inform us of any accessibility, dietary, or other requirements that may affect their participation.

We will make reasonable efforts to accommodate such requirements where possible, but some locations, historic buildings, boats, and other venues may have inherent accessibility limitations.

Participants remain responsible for managing their own medical needs and carrying any necessary medication.

11. Accommodation and Third-Party Services

Accommodation, transportation, restaurants, guides, attractions, and other services may be provided by independent third-party suppliers.

Such services are subject to the terms and conditions of the relevant providers.

We will take reasonable care in selecting and coordinating third-party services but cannot guarantee that every aspect of a third-party service will be entirely free from disruption or change.

12. Liability

Nothing in these Terms & Conditions excludes or limits liability where it would be unlawful to do so.

Subject to applicable law, we are not responsible for loss, damage, delay, injury, or expense arising from circumstances outside our reasonable control or from the acts or omissions of independent third-party suppliers.

Participants are responsible for their personal belongings and valuables throughout the pilgrimage.

13. Force Majeure

We will not be responsible for failure or delay in performing our obligations where this results from circumstances beyond our reasonable control, including natural disasters, severe weather, epidemics or pandemics, war, terrorism, civil unrest, strikes, transportation disruption, government restrictions, or other unforeseen events.

14. Photography and Media

Photography and filming may take place during the pilgrimage for community, church, archival, or promotional purposes.

If you do not wish to appear in promotional photography or video, please notify the organisers.

15. Personal Information

Personal information provided during registration will be handled in accordance with our Privacy Policy and applicable data protection legislation.

Information may be shared with relevant suppliers where necessary to provide the services included in the pilgrimage.

16. Complaints

If you experience a problem during the pilgrimage, please inform the pilgrimage organiser or designated representative as soon as reasonably possible so that we have an opportunity to address the matter.

Any formal complaint should be submitted in writing to info@armenianchurch.org.uk within 10 days of the end of the pilgrimage.

17. Governing Law

These Terms & Conditions are governed by the laws of England and Wales, unless otherwise required by applicable law.

Any disputes arising in connection with these Terms & Conditions will be subject to the jurisdiction of the courts of England and Wales, subject to any mandatory consumer rights that apply.
